KEY RESPONSIBILITIES

 Financial

  • Maintenance of the charity’s accounting records using the SAGE 50 accounting software
  • Managing the processing of transactions including supplier invoices, supplier payments and expenses claims, daily bank transactions, with the assistance of the Finance Assistant
  • Reconciliations for all bank accounts
  • Responsible for inter account transfers between bank deposit accounts/ investments
  • Authorised person to release payments via On-Line Banking
  • Administrator of Clearspend (Credit Card)
  • Keying of donation data on to charity databases, including Sage 50 Accounts, Raiser’s Edge
  • Knowledge of use and back office functions of payment and fundraising platforms
  • Managing Gift Aid recovery

Line Management

  • Line Manager for the Finance Assistant (AAT level 3)
  • Working closely with the Finance Assistant to ensure the smooth operation of all finance matters
  • On non-working days and annual leave of Finance Assistant responsibility for all duties normally undertaken to ensure smooth running of finance operation

Payroll

  • Managing all aspects of payroll using SAGE 50 payroll software
  • Perform all Tax Year end processing and reporting, including P60
  • Nominated Pension Administrator ensuring that all data uploads to pension plan providers submitted within timescales
  • Ensure that regulatory requirements under Auto enrolment are up to date, including the need for re-enrolment and re-declaration
  • To complete Annual Pension returns within agreed timescales to ensure that annual pension statements are available to staff
  • Resolve employee payroll queries

 Financial and Regulatory Reporting

  • Prepare annual accounts in SORP format and arrange audit
  • Collecting and collating information for the preparation of final accounts, making adjustments, accruals, prepayments, restricted/unrestricted funds
  • Maintaining records relating to fixed assets, capital expenditure and depreciation
  • Revaluation of Investments to establish portfolio movements, charges, realised/ unrealised gains and loss
  • Prepare monthly management accounts in agreed format and additional financial reports as required by trustees, including cash flow forecasts
  • Providing up to date information of legacy pipeline to Trustees
  • Involvement with the preparation of the annual budget with Treasurer and Head of Fundraising
  • Responsible for regulatory compliance, including Companies House, Charity Commission returns and record of Trustees and the register of their interests.

Other

  • Grant & fund management; assist with financial aspects of grant applications, ensure that grant monies are allocated to the appropriate restricted funds, overview of agreed expenditure on grant funded activities.
  • Liaising with solicitors, clinical hospice team, SDH Finance to process patient claims for compensation for personal injury
  • Providing an external interface with our bankers, auditors, IFA pension provider, investment managers, suppliers
  • Responsibility for charity insurance policies, liaising with charity’s broker
  • Administration of legacy fundraising, liaise with solicitors/executor, including the signing off of Estate Accounts
  • Administration of Will Trusts, arranging annual inspection of property and insurance
  • Maintenance of Legacy Asset register
  • Complete other annual compliance and money laundering requirements
  • Working with external IT provider to ensure that all updates to SAGE 50 Accounts and Payroll systems are action at critical points such as year end

As well as directly managing the Finance Assistant the role involves close liaison with:

  • Head of Fundraising
  • Members of the fundraising team
  • Management staff in the hospice
  • Salisbury District Hospital finance team
  • Bankers and investment managers
  • Insurance and pension providers
  • Solicitors and those administering legacies
  • Auditors
