Job Details
Harris Hill are working with another amazing environmental charity who requires a dynamic Personal Assistant to support 2 directors for a minimum of 6 months.
Main duties of this Personal Assistant role are:
• Managing a busy diary: regular and ad hoc meetings
• Being first point of call for director and departments
• Monitor and prioritise email inboxes
• Draft and issue emails on behalf of the Directors and departments
• Scheduling both internal and external meetings, collating papers and taking action points
• Proactively manage all diaries, including effective forward planning, arranging meetings and mapping deadlines across numerous time zones.
• Facilitate the preparation of and/or prepare PowerPoint presentations and written briefings as required
• Maintain a high level of confidentiality and discretion
• Manage and co-ordinate senior meetings for the department, including managing and administering the logistics of both face to face and virtual meetings
• Support with recruitment administration and logistics, and induction processes
• Monitor and administer the department’s budget and process invoices, payments and expenses
• Provide additional administrative support for the department as required
• Other ad hoc administrative duties when required
Skills and Experience
• Substantial PA experience in a similar organisation and demonstrable experience of providing high level support to senior staff
• Proactive management of multiple and changing priorities with the ability to work calmly under pressure to tight deadlines
• Excellent written and spoken communication
• Accuracy with a keen eye for detail
• A flexible and proactive approach to work with strong organisational skills and the ability to prioritise a varied workload and work accurately under pressure to meet deadlines
• Excellent interpersonal, diplomatic, and influencing skills and the ability to deal confidently and appropriately with individuals at the highest-level including handling confidential and sensitive information
• Strong knowledge of all Microsoft packages, such as Word, Excel, Outlook and PowerPoint, databases, and internet applications
There is a permanent role available however due to a restructure they have elected to issue a contract while this process works itself out. This is a rear opportunity to work within an international environmental organisation.
