Our client is looking for someone to provide the essential day-to-day administrative support for their work, where everyday tasks such as organising, participating in and documenting meetings, managing and organising information, processing invoices and expenses, and supporting colleagues with business systems and processes will form the foundations of your role.

With several ambitious projects underway across the region, you’ll have the opportunity to be involved in a broad and ever-changing range of work from supporting project evaluation and the recruitment of staff and volunteers to contacting Local Authorities about how they can help protect turtle dove. There will be plenty of opportunities for you to develop your skills, knowledge and experience, both through your work and in-house learning and development resources.

To thrive in this role you’ll be a confident multi-tasker with an organised and adaptable approach to your work. You’ll have strong communication skills, plenty of initiative and the ability to build and maintain effective relationships with staff, volunteers, colleagues from partner organisations and everyone that this charity works with and for.  You’ll ensure that complex confidential and sensitive matters are handled appropriately so that all contact is professional, and the organisation is represented in a positive manner.

You will be joining a network of administrators, who support the various different teams within England, collaborating with this group to upskill, share learning and best practice via peer group meetings, all-England Admin gatherings and on the team’s SharePoint site. You will also be working to support the Principal Administrators who oversee the network of administrators in England.

Due to the dispersed nature of the England team, the majority of meetings take place virtually via Microsoft Teams.  As the role can be delivered remotely, there is flexibility regarding where you work, with more people opting to work from home for part/all of the week. Covid-dependent, there will be expectations to travel occasionally for face-to-face team meetings.

  • Resourceful with the ability to work independently.
  • Able to make the best use of time particularly when under pressure from competing priorities, prioritising and delegating tasks effectively, during periods of both low and high demand.
  • Able to communicate effectively with a wide range of audiences whether by phone, email or in person.
  • Able to identify and act on opportunities for continually improving ways of working.
  • Extensive knowledge of Microsoft Office applications (especially Outlook, Word, Excel and PowerPoint), plus the ability to impart this knowledge on to others.
  • Knowledge of document management and team collaboration tools.
  • Knowledge of budget management terminology and processes.
  • Able to organise meetings and events, from the small up to the very large and coordinate all aspects of the meeting or event logistics.
  • Able to proactively identify and solve problems.
  • Able to deal with confidential and sensitive information appropriately.
  • Able to record meeting minutes and actions clearly and concisely.
  • Experience of providing administrative support.
  • Experience of processing financial information.

Whilst your role will mainly focus on supporting the Kent & Essex area team, they are looking for someone who is willing to work flexibly and be ready to support the team in other ways as required. This charity needs to work at pace to tackle the nature and climate crisis and administrative support is a key part of this.
