I am excited to be working with an amazing art charity looking for a part-time (30 hours a week) Business & Finance Function Manager to provide internal operational management with a particular focus on developing sustainable and accessible internal systems to include budgets. To support accurate reporting and data management to include the introduction of CRM. To prioritise 'diary keeping' and timelines for reporting to funders and bid writing. Please note this role offers flexible, home working plus regular attendance at key meetings required in the Lancaster area (possibly once a week).

Main duties:
Artistic Programme
Ensure all projects are co-ordinated and administrated to the highest calibre of quality with the utmost care

Financial Management
Day-to-day responsibility for the accurate updating of the budget, reporting any anomalies immediately to the Senior team (Board/Directors)
Oversee the administration and reconciliation of day-to-day financial transactions, to include payroll
Co-ordinate Staff Time Sheets, Staff Expenses and Holiday form templates
Coordinate the preparation of accounts and financial reports where required

Administration, HR and Governance
Co-ordinate the recruitment, appointment and induction for all permanent and fixed term staff
Train, line manage and appraise the Administration Assistant & any required reception and cleaning staff with support from the Senior Management team.
Support the relationship the Board of Trustees, including the coordination and preparation of board papers, responding to requests from Trustee's and distributing minutes
Support the organisation, scheduling and minuting of meetings accurately and efficiently
Support the Senior Management team to ensure the charity's public and employers' liability insurance is up to date, fit for purpose and that any conditions are satisfied.
Support the Senior Management Team to review, monitor and update policies, to support best practice and ensure legal requirements are fulfilled
Support the Senior Management team in developing and implementing effective HR procedures
Contribute to the smooth running of the organisation and day to day activities, by managing administrative systems, processes and following organisational policies

Data Collection and Reporting
Lead on data collection and collation to ensure compliance with funders' requirements
Support the development and management of the organisation's evaluation systems to track, monitor and generate robust evidence of engagement and/or impact
Support the team to meet evaluation and reporting deadlines by leading on primary funder reports
Support the team in preparing funding applications for a variety of funders and partners

Facilities and Resource Management
Lead, monitor, maintain, report on and resolve issues with hubs/facilities including liaison around building contracts, diary management, payments and access
Manage the office and reception 1st point of contact role (Administrative assistant post), and to provide cover and support where necessary, including restocking office consumables, resolving IT and communication issues in liaison with service providers and manufacturers

Marketing and Engagement
Act as the first point of contact to the general public, groups and partner organisations, with support from/in conjunction with the Administration Assistant
Oversee the scheduling of the work experience
Lead on CRM design briefs and implementation of new systems
Support the Directors to communicate brand values, the case for support and the evidence impact of the organization
Co-ordinate, populate and manage the database in line with the GDPR
Support the organisation to identify and reach target audiences, participants and the public through effective social media marketing
Contribute to transparent communication throughout the company, including answering the telephone, taking and recording messages and appropriate action to ensure messages are received, providing clear and accurate information to enquirers

General Duties
Participate in a process of continuous evaluation of the organisation's effectiveness in fulfilling its aims and objectives.
Contribute to ensuring that the company works as a strong and cohesive team
Participates in supervision and appraisal meetings and any training considered necessary by their line manager
