Job Title: Accounts Receivable Assistant

Location: HQ, Lancaster House, Sharston, Greater Manchester

Hours: Full Time, 35 hours per week

Salary: A8 - £18,850 per annum

Start date: As soon as possible

Contract: Permanent, after 3 months’ probation review

Responsible to: Accounts Receivable Manager

Primary internal working relationships: Accounts Receivable Team, Finance Team, Central

Admin Team

Primary external working relationships: NatWest Bank, Charity customers and donors

Main purpose of the job:

To assist the Accounts Receivable Team with all areas of Income, including processing and

thanking donations, Direct Debits, banking, Sales Ledger, and invoicing and to ensure the

objectives of the Charity are supported.

Job summary:

The post holder will work closely with the Accounts Receivable Team to ensure all Income

is recorded into the Customer Relations database (Raiser’s Edge) and into the accounting

software (Sage).

– Evaluate, batch, and thank all donations received in the post, online and direct into the bank

– Set-up, process and check Direct Debits

– Prepare banking for cash and cheques

– Process bank payments

– Process sales orders

– Debtors

Main duties and responsibilities:

General support to the Accounts Receivable functions of the Finance Department.

Donations

– Process all donations received onto Raiser’s Edge creating batches, updating customer and

gift information and sending Thank You letters.

– Process all Direct Debit donations, setting up the initial gift, sending Advance Notice letters,

processing changes, cancellations, and rejections, submitting the twice monthly Instructions

and Claim all to strict BACS rules and guidelines.

– Maintain the recurring gifts keeping contact with donors when instalments are missed or on

Banking

– Checking and committing all logged donations, sponsorship, fees and tickets on Raiser’s

Edge.

– Preparing Daily Banking for all cash and cheques logged on Raiser’s Edge, plus any other

receipts including invoice payments, business takings and merchandise sales.

– Posting all transactions relating to banking, including Post To Finance files from Raiser’s

Edge.

– Reconcile cash book for the Bank accounts used by Income.

Sales

– To assist in maintaining the sales ledger, processing sales orders, raising invoices and

reconciling the ledger, including the logging and tracking of sales ledger invoices.

– To maintain and reconcile customer statements ensuring queries are followed up and that

the appropriate records are kept at the Financial Year end.

– Assisting with customer reconciliations and Nominal Ledger maintenance in the accounting

system.

– To assist in the chasing and collection of outstanding customer receipts

Merchandise and Events

– To monitor and maintain floats, iPads and iZettle machines for ticket and merchandise sales

at events.

– Maintain the iZettle products and prices available.

– Processing sales orders, raising invoices for merchandise sales online or at events

General

– Assisting with the preparation and maintenance of various files.

– To work closely with the Finance team in the preparation of ad hoc reports, statistics, figures

and other financial information for the Finance Manager or other Department Managers

when requested, under the direction of the Accounts Receivable Manager.

– Take part in Box Office, collections, Merch stalls, and offering counts as required at meetings

and conferences.

– Participate in Reception cover for at least 1 hour per week on behalf of the Finance team.

– Any other duties within the Finance Team as needed and as requested by the appropriate

manager.

– Experience working in a Finance function / Accounts environment

– Good ICT skills and knowledge of Microsoft Excel

Notes

All Message staff are set a personal fundraising target. We ask that the successful applicant

has a minimum of £75 per month of regular financial support before commencing employment,

increasing to £125 per month by the end of the three-month probation period and aims to add

one supporter a month after that. Training and support will be given to help you achieve this.

Staff are also expected to organise and take part in, at least one fundraising or other sponsored

event annually.

The Message Trust exists to share the good news about Jesus Christ boldly with young people,

primarily in urban areas. Working in schools, in local communities and in prisons, The Message

is in regular contact with around 100,000 young people each year across the UK and now

internationally in South Africa, Canada and Germany from our base in Manchester.

– Producing quality Christian music and educational resources. Live music bands, printed

materials, the internet and multimedia are all used to communicate the gospel to young

people in ways that are relevant to today’s youth culture and perspectives.

offering discipleship programmes. After release, we offer supported housing in a Christian

environment and employment through our enterprise initiatives.

materials, evangelism training courses and to inspire people to get involved with their

neighbourhoods, through social action and evangelistic outreaches.

– Partnering with local churches, local authorities, schools, the police and other agencies

to provide new opportunities and positive experiences for disadvantaged, deprived and

marginalised young people across the UK.
