MiSST works with 17 schools in the UK. MiSST helps secondary schools that have a disadvantaged and challenging student intake by providing not only funding for classical instruments, but also support in the form of regular tuition, opportunities to perform and a programme of excellence that is unrivalled in the UK.
Purpose: The role of the Finance Manager is to lead on all aspects of financial management for the charity and ensure compliance and value for money
Job Description
In times of rapid change, job descriptions cannot be prescriptive. It may be that alterations are necessary as circumstances dictate and new needs arise. The balance of duties will be determined with individual members of staff.
Purpose of the job:
- To manage all aspects of the financial systems for MiSST and prepare grant applications
Duties of the Post
Financial Systems and Procedures
- Ensure MiSST has robust financial systems, policies and procedures in place to meet all legal requirements for the charity
- Review all financial policies and ensure they meet the most up to date guidance
- With the CEO, create annual budgets for all programmes and ensure income and expenditure are accurately recorded
- Build a professional relationship with the bank and keep their service under review
- Build and maintain a strong working relationship with the MiSST auditor and review procedures at the end of the annual audit process
- With the CEO submit, as appropriate applications for quality marks and awards to demonstrate strong financial management within MiSST
Financial Reports, Annual Audit and Returns
- Produce quarterly financial reports for the Trustees and other grant givers as required
- Lead on and prepare all documentation for year-end information to meet the audit requirements
- Produce financial information for inclusion in the annual report
- Collate and present key performance data for each grant giver, as required by funding agreements
- Annotate financial reports, or provide appropriate commentary as required
- Reconcile the accounts monthly in the agreed format for discussion with the CEO
- Reconcile the accounts on a quarterly basis in line with MiSST’s audit policy
- Ensure all income and expenditure is reconciled to the bank account
- Ensure the annual report to the Charity Commission is completed, signed off and submitted within the agreed timescale
Securing and Managing Grants
- Work with the CEO to update the annual fundraising plan to further the aims of MiSST
- Keep the MiSST database of potential donors/philanthropists, charities/Trusts and Foundations up to date, recording potential and actual donations
- Ensure an annual framework is in place for reporting on any grants and income received
- Prepare grant applications with full costing analysis which includes direct and indirect cost
- Draft and discuss grant applications with the CEO, prior to submission
- Work directly with schools, if appropriate, to support their efforts to secure additional funding
- Ensure that any fund raising, undertaken by students for the benefit of MiSST is in line with agreed MiSST and school policies
Day to Day Role
- Ensure all financial transactions are accurately recorded in line with internal and external reporting requirements and is up to date
- Ensure all expenditure is agreed and the appropriate invoices received
- Process the payroll to ensure everyone is paid correctly and on time
- Ensure pension and HMRC contributions are correctly paid through the agreed system and procedures
Training
- Undertake training as required
- Keep any current professional qualifications up to date
Other
- Inform the CEO of any financial issues which might adversely affect the charity
- Undertake other tasks that would be considered reasonable within the remit of this role
- Work at all times to further the aims of the MiSST
- Operate within all agreed policies of MiSST and the partner school
