Job Details

A health charity based in Central London are looking for a Head of Chief Executive's Private Office. The successful candidate would need to ensure the Chief Executive and Deputy Chief Executive are equipped with the support, information, insights and processes to enable them to operate with maximum efficiency, effectiveness and impact in leading the organisation and to enable the Chief Executive to work effectively with the Trustees in ensuring the good governance of the charity.
Key responsibilities
To manage key business processes and projects to ensure the smooth running of the Board of Trustees, Trustee Committees, Chief Executive's Office and the Senior Management Team.
Line management of the Executive Assistant
Proactive management of busy and complex diaries of the Chief and Deputy Chief Executive, and ensuring key relationships are effectively facilitated
Working with colleagues from across the organisation to ensure the Chief and Deputy Executive have full briefing, speeches and advisory support on all meetings, visits and events. Participating fully in those briefings
Respond promptly to letters or enquiries by gathering information, coordination with staff or others, drafting responses, and discusses such requests, complaints or inquiries with the Chief Executive.
Research and follow-up on status of relevant projects or pending issues.
Work closely with the Heads of Corporate Informatics, Programmes and Risk, Health Influencing, Social Policy, Campaigns, Media, Comms and Integrated Governance, in addition to various managers particularly Public Affairs
Monitor the budget, including monitoring variances in the Chief Executive Department budget.
Comply with policies and procedures, including Health and Safety policies, for which all employees owe a duty of care both to themselves and others, in accordance with the Health and Safety at Work Act.

Person specification
Extensive experience supporting a high-profile Chief Executive, Director or Board Chair
Excellent communication, interpersonal and written skills with the ability to influence and negotiate when required, liaising effectively at all levels internal and externally.
Excellent administration skills, including minute-taking, presentation and preparation
A positive assertive and resilient approach to prioritising and juggling varying pressure and conflicting priorities.
Track record of providing in-depth and timely political, policy, donor and other briefings to a chief executive
Experience of project management
Experience of managing and preparing a budget
Experience of giving presentations.
