Finance:                                                              

  • Support the Director with budgeting, forecasting and management of cash flow;
  • Liaise and support the Lord Brock Trust’s Treasurer;
  • Liaise with accountants and auditors providing information when necessary;
  • Generate monthly/quarterly/annual Income & Expenditure and Balance Sheet reports for the Director and Trustees
  • Assist with the commentary on income, expenditure and relevant trends, including profits, losses and cost of sales, supporting colleagues to develop knowledge on the business and its needs;
  • Maintain Sage and other financial records and documentation systems, both digital and manual;
  • Add all transactions to Sage 50 and reconcile the bank accounts;
  • Prepare and process income and expenditure invoices, working closely with colleagues to ensure accuracy, efficiency and appropriate sign-off;
  • Maintain and monitor a debtors list, working with the Director and other members of the team to improve credit control;
  • Match sales invoices and bank receipts;
  • Supervise that till takings are banked regularly;
  • Monitor till change and replenish;
  • Manage collating and payment of staff and volunteer expenses;
  • Liaise with payroll supplier and make monthly payments to staff, volunteers, HMRC and pension provider as required;
  • Act as the point of contact for the Museum’s pension provision, liaising with museum colleagues and the Museum’s pension provider;
  • Assist with day to day banking duties, including depositing funds and change collection;
  • Maintain secure access to the Trust’s bank account, making online payments where required;
  • Manage data and information in line with GDPR and PCI-DSS requirements and other legislation, reviewing and organising data logs as appropriate;
  • Deliver, oversee and develop robust financial procedures, controls and systems;
  • Any other duties required by the Director

Office and Facilities:

  • Manage and maintain waste collection and cleaning contracts and payments;
  • Manage office stock, stationery and subscriptions payments.

Strategy:

  • Ensure all finance, office and facility activity is aligned with the Museum’s main aims and objectives;
  • Monitor and maintain the Museum Trust’s current and investment accounts, discussing concerns with the Director and Treasurer as required;
  • Assist the Director and Department Managers with preparation of the Museum’s Annual Budget for presentation to the Trustees and contribute to the Museum’s ongoing business planning and development.
  • Lead the Museum’s ‘year-end’ preparation, including liaising with the appointed auditors and playing a pro-active part in ensuring recommendations from previous audits have been considered and addressed.
  • Assist in developing procedures and ways of working that recognise risks in Business Continuity and fulfil compliance with regulations.
  • Support the delivery and development of the Museum’s Business Plan and audience development plans and strategies as appropriate;
  • Identify and, with the Director’s agreement in line with the Museum’s main aims and objectives, make applications for grants and funding related to office and facilities.
