Job Details
Title: Facilities Assistant
Responsible to: Facilities Co-ordinator
Salary: £22,000 per annum
Terms: Monday to Sunday contract. Full-time 37.5 hours per week, regular evening and weekend work will be required to cover business needs.
Place of work: London EC1V 8AJ

Purpose
As part of a team be responsible for the visual presentation of the premises and the day-to-day caretaker tasks
To assist the Facilities Co-ordinator with the facilities’ management
To assist the Facilities Co-ordinator with keeping the building and machinery maintained effectively
To be responsible for the day-to-day compliance with health and safety related to this role
Key Responsibilities
To oversee and deliver the daily, weekly, monthly facilities duties including cleaning and to make sure that all is well presented for visitors.
With the Facilities Co-ordinator oversee the cleaning contracts and make sure that the contractors fulfil their obligations
To assist the Facilities Co-ordinator with managing the delivery of facilities related service contracts
To help source and oversee facilities’ contractors to provide general maintenance and make repairs when this cannot be undertaken by you.
To be responsible for facilities issues, logging them and liaise regularly with other departments on facilities matters to help to make sure the building is maintained for the future
To ensure, with the help from the Facilities Co-ordinator, and ensure that St Luke’s is
compliant with all fire regulations and including carrying out regular fire risk assessments.
To ensure that it complies with H&S requirements, general Health and Safety for all users and staff in the Centre
To be responsible for the security of the building and its content and help to develop a security plan of the new layout of the building
To assist with the delivery of the planned preventative maintenance (PPM) schedule which is the premises’ system
To be the point of contact for premises and facilities management for visitors, staff and tenants
With the reception team, help to coordinate all room users’ requirements for St Luke’s activities and events
As part of the Facilities team, to ensure all cleaning tasks are completed in a timely and effective manner.
To assist the Facilities Co-ordinator by ensuring that is compliant with statutory and regulatory obligations
To attend meetings and training as required
To comply with the Charity’s policies– Including Diversity and Equal Opportunities, Fire, Health and Safety, Safeguarding Children and Vulnerable Adults.
To carry out any other duties within the scope, spirit and purpose of the job, as requested by the Facilities Co-ordinator.
Essential skills & experience
A background in or experience of working in a facilities team environment or similar
A track record of doing and overseeing minor repairs and maintenance
A hands on individual and flexible with regard to tasks including cleaning, light maintenance and room presentation.
Knowledge of building related health and safety
Experience of providing excellent customer service
Good written and verbal communications skills and the ability to communicate confidently and effectively
IT Literate
Able to work independently and demonstrate initiatives in improving facilities’ systems
Prioritisation and planning skills
A flexible approach to with working days and hours when necessary
Willingness to gain further skills in the facilities field
Desirable skills & Experience
Experience overseeing planned preventative management systems
Understanding of mechanical and electrical systems
Understanding of IT environments
A full UK or EU driving licence (to include being allowed to drive a mini bus)
Experience of overseeing building maintenance contractors
