Job Details
Title: Facilities Co-ordinator
Responsible to: Facilities and Reception Manager
Responsible for: Facilities team
Salary: £26,000 per annum
Terms: Monday to Sunday contract. Full-time 37.5 hours per week, regular evening and weekend work will be required to cover business needs.
Place of work: London EC1V 8AJ

Purpose
To be responsible for the visual presentation of the premises
To assist the Facilities and Reception Manager with keeping the building and machinery maintained effectively
To be responsible for the day-to-day compliance with health and safety related to this role
To line mange the Facilities team and casual staff.
Key Responsibilities
To oversee and deliver the daily, weekly, monthly facilities duties, including cleaning
and to make sure that all is well presented for visitors.
To oversee the cleaning contracts and make sure that the contractors fulfil their obligations.
To help source and oversee facilities’ contractors to provide general maintenance and make repairs when this cannot be undertaken by you and/or your team.
With the help from the Facilities and Reception Manager, to ensure that St Luke’s is compliant with all fire regulations, and in particular carry out regular fire risk assessments
To ensure that our client complies with H&S requirements, general Health and Safety for all users and staff in the Centre
To oversee the recruitment of appropriate staff when necessary.
To be responsible for the security of the building and its content and help to develop a security plan of the new layout of the building
To be the point of contact for visitors, staff and tenants
With the Reception team, help to coordinate all room users’ requirements for client activities and events
To attend meetings and training as required
As a Facilities team, to ensure all cleaning tasks are completed in a timely and effective manner.
To comply with the Charity’s policies – including Diversity and Equal Opportunities, Fire, Health and Safety, Safeguarding Children and Vulnerable Adults.
To carry out any other duties within the scope, spirit and purpose of the job, as requested by the Facilities and Reception Manager.
Essential skills & experience
-A background in or experience of overseeing or working in a facilities team environment
-Experience of overseeing building maintenance contractors
-A track record of doing and overseeing minor repairs and maintenance and controlling heating, ventilation and other mechanical systems
-Knowledge of building related health and safety
-Experience of providing excellent customer service
-Good written and verbal communication skills, and the ability to communicate confidently and effectively
-A hands on individual and flexible with regard to tasks including cleaning, light maintenance and room presentation.
-IT Literate
-Able to work independently and demonstrate initiatives in improving facilities’ systems
-Prioritisation and planning skills
-A flexible approach to working days and hours when necessary
Desirable skills & Experience
-Experience of managing staff and performance monitoring
-Experience of developing and overseeing planned preventative management systems
-Understanding of mechanical and electrical systems
-Formal training in facilities’ management
-Understanding of IT environments
-A full UK or EU driving licence (to include being allowed to drive a mini bus)
