Responsibilities of the role includes:

  • Receive, log and distribute post/parcels to relevant person (department).
  • Answering & transferring phone calls received to the organisation’s main contact line.
  • Assist with obtaining approval for supplier invoices from relevant budget holders, code and process invoices on to our finance system (QuickBooks).
  • Assist with preparing bi-weekly supplier payment run.
  • Assist with IT/telecommunication queries from colleagues as required including liaison with our IT support service, landline telephone and mobile network providers.
  • Moderate internal outlook group e-mails
  • Assist with on-boarding new starters regarding facilities and equipment, including:
  • Coordinating with IT support services to set up new users on our IT systems.
  • Ensuring new starters have the necessary IT and phone equipment – to include liaison with HR Officer and team managers.
  • Sourcing keys (for authorised key holders)
  • Assist with organising general office/premises repairs including liaison with the landlords and maintenance suppliers (electricians, plumbers etc) as needed.
  • Assist with organisational Health, Safety and Security including ensuring testing and repairs of fire and security alarms, lift and air-conditioning is carried out as needed and liaison with our cleaners.
  • Maintain stationery stock levels & order stationery and printer consumables.
  • Maintain BSU filing systems.
  • Update internal staff telephone list

General responsibilities

  • Work with colleagues from other teams and undertake such other duties, appropriate to the grade and character of the work, as may reasonably be expected.
  • Keep the Head of Finance and Business Services informed of any issues and successes.
  • At all times protect the safety and security of the Advance, service users, staff, volunteers and buildings, and the confidentiality of records and other information in line with data protection requirements.
  • Participate in supervision, training and meetings as required and work as a member of the team to ensure effective delivery of service and individual work plans.
  • Ensure the effective implementation of Advance’s Safeguarding, Health & Safety, Equal Opportunities and other policies and procedures and uphold the core values of Advance.
  • Ensure that personal information for clients, members of staff and all other individuals is accurate, up-to-date, kept secure and confidential at all times in compliance with the Data Protection Act 1998 and Advance policies and procedures.
  • Uphold the right of women, children and young people who have experienced domestic violence, advocating vigorously for them while offering protective strategies, and appropriate safe services
