Job Details
An exciting new opportunity within one of London's leading Universities has arisen for a dedicated and professional Personal Assistant to provide comprehensive and confidential support to two senior members of staff.
This wide-ranging role will provide exclusive support to the both the Head of Department and Departmental Manager. You will be responsible for diary management, ensuring timely responses to queries and filtering requests as appropriate. The post holder will provide administrative assistance to both members of staff, proving support to the wider team where necessary. Acting as the first point of contact for all enquiries to the Head of Department and Departmental Manager, you will employ excellent written and oral communication skills in explaining procedures and regulations on their behalf. As their Personal Assistant, you will be responsible for arranging travel and accommodation along with managing expense claims and liaising with the Finance and Operations teams where necessary. You will also be required to accurately interpret, collate and report on research findings when needed by the Head of Department. You will also be responsible for coordinating internal and external events in addition to preparing both members of staff ahead of meetings.
The successful candidate will be a proven professional with previous experience in a similar capacity. With substantial administration experience in a fast-paced environment, you will have excellent MS Office skills as well as exceptional communication skills both verbal and written. You will be able to use your own initiative with the ability to work independently and proactively and prioritise competing deadlines. With exceptional time-management skills, you will have experience of diary management and be familiar with organising travel arrangements both national and international. You will also possess strong attention to detail and a high level of accuracy with experience captivating notes/actions in meetings.
