Head of Fundraising Events
· Part time, 3 days pw
· 12-month maternity cover

Purpose of the Role
Head of Fundraising Events role is integral to generating income and raising awareness of the work of the Peter Jones Foundation (PJF), through key annual fundraising events.

Key Responsibilities

Deliver a series of annual cost-effective fundraising events, to raise funds for the charity; PJF Golf Day, PJF Clay Shoot Day and Schofield Family Clay Shoot Day - www.peterjonesfoundation.org/our-events/fundraisingevents/
· Work within the budgets set for each event, meeting or exceeding financial targets set by the CEO
· Produce detailed event plans for each event, which include key deadlines for delivery
· Produce detailed timeline of requirements and deadlines for approval of the CEO and Chairman
· Venue liaison, negotiating and confirming details
· Work with the Communications and Marketing Manager to develop a communications plan for events
· Guest management, including compiling a guestlist, issuing invitations, monitoring RSVPs and recording team
information and payment status. Manage VIPs and celebrity guests
· Manage event sponsors, securing new sponsors and nurturing existing partners, ensuring that they receive
promised coverage and presence at the events
· Work with suppliers, to design and produce event marketing material
· Source and manage entertainment for each event
· Manage all audio-visual aspects of the event, including films, presentations, music and sound production,
working closely with AV production companies/teams where necessary
· Procure silent auction company. With the support of the Event Coordinator prepare online features for the
silent auction system, ensuring exciting variety of silent auction prizes attained
· Source auctioneer. Provide them with a detailed brief on guests in attendance and any additional prize
information to enhance the work of the auctioneer and to ensure income from the live auction is maximised
· Research and approach companies to sponsor/ donate to the events; gifts in kind, goody bag items,
beverages, and high value auction prizes, forging relationships in order to support the charity with its
fundraising efforts
· Sell event tickets and teams
· Find new, creative and current ways to raise funds at the events
· With the support of the Marketing and Communications Manager work with a film production company and
our official photographer to ensure that a good set of images and film are produced at each event
· Prepare briefings for speakers, staff, volunteers and VIPs, ensuring that all parties understand their roles
· With the support of the Event Coordinator manage post-event tasks, including guest follow-ups, prize
distribution, outstanding payments and event feedback
· Work with finance to reconcile all finances, pre and post event
· Monitor the two events in-boxes and all enquiries coming into them
· Provide regular updates to the CEO about the progress of the events and highlight any risks/concerns
· Line manage Events Coordinator
· Attend and contribute to team meetings and, on occasion, support education events as required
· Work with programmes team to ensure that they are aware of opportunities for collaboration and support
