I am currently looking for an outstanding Administrator for an exciting opportunity to work for an International non-profit health/scientific organisation. This is initially a 6-month contract with the possibility of extension!
This role encompasses a broad range of administrative tasks including general office administration, organising meetings, supporting Committees, membership and basic financial administration. There is will also the opportunity to support the organisations projects and campaigns.
General office administration:
Dealing with incoming and outgoing post
Liaising with suppliers and contractors, including stationery, couriers and mailing houses
Maintaining and developing electronic and paper storage systems, including day-to-day filing and archiving of files and papers as necessary
Ensuring the office is kept tidy and arranging for the maintenance or repair of office equipment
Establishing and maintaining office systems and administrative procedures and ensuring the Office Handbook is kept up to date for the benefit of current/future staff and volunteers
Liaising with staff regarding IT support, meetings organisation and other areas as required
Responding in a positive, helpful and tactful manner to general email and telephone communications such as requests for information, enquiries from potential members and requests for meetings, logging all queries and taking action as required
Undertaking financial administration including processing invoices, and ensuring that, on a monthly basis, all relevant documentation is coded and provided to the financial management company in an accurate and timely manner
Assisting with the development of annual and project budgets and ensuring they are kept up to date
Monitoring petty cash and preparing regular reports on expenditure
Meeting and event administration:
Assisting with the organising of Board Meetings and other meetings which may include preparation of agendas and papers, organising hotel and meeting rooms and flight bookings and hospitality, taking notes, production of minutes and monitoring achievement of actions
Assisting with the administration of Board and Committee conference calls which may include preparation of agendas, taking of minutes and taking appropriate follow up action
Project administration and coordination:
Adding new organisations and contacts and making amendments to the Customer Relationship Management (CRM) system as required
Assisting with membership administration which may include processing membership applications and fees, ensuring member information is up to date, administering initiatives and communicating with members as directed
Updating the website as directed
Assisting with governance administration
It is important that you are CRM system savvy and happy working in a small team bringing a friendly, collaborative, positive and proactive approach to the team, members, staff, board members and other stakeholders.
