Job Details

I am currently looking for a highly skilled and organised Executive Assistant (EA) to the Registrar and Director of Academic Services for a major non-profit organisation.
The post combines the provision of Executive Assistant support to the Registrar and Director of Academic Services with the provision of administrative support to the work of the directorate as a whole. It is a pivotal coordinating role and the post-holder will promote and facilitate team working and consistent directorate planning and processes

Main EA duties:
Effective diary management and comprehensive secretarial support ensuring appropriate prioritisation of urgent matters and flexibility as required within a busy schedule
Organising attendance at offsite meetings and external events (e.g. registration coordination, travel, accommodation etc.)
Prioritising incoming email correspondence, replying on the Director's behalf when possible, and drafting/typing other replies for later approval
Proactively prioritising urgent actions and make judgements about the urgency of issues/meetings/requests for time, rescheduling and reorganising as necessary and coordinating responsibilities
Arranging and organising meetings including drawing up itineraries and agendas, arrangements for visitors, booking venues, arranging equipment, liaising with caterers and producing clear and accurate minutes or notes etc.
Collating, reviewing and preparing a range of reports, papers and other documentation
Acting as Information Officer for the Director's files to assist with information security and Data Protection
Be responsible for liaising with the Finance department to ensure the Director's budget statements are up to date
Diagnosing, resolving and escalating IT issues where necessary
Act as interface, communication link and primary conduit between Director's office and external and internal contacts and stakeholders

Academic Services Administrator duties:
Assisting with the drafting and updating of strategic documents on behalf of Academic Services including the Learning Teaching and Assessment Strategy, Operating Statements and KPI reports
Maintain an overview of directorate priorities and current projects, being responsible for maintaining and updating the Academic Services operational plan
Organising and servicing meetings and committees, and - where appropriate - attending, taking minutes and following up action points
Help maintain the IT administrative structure for Academic Services teams i.e. the shared network drives
Roll out any new structure for the intranet within Academic Services, being responsible for updating the top level Academic Services' pages and providing support and advice with collaboration sites
Organising Academic Services Away Days and other functions
Providing general support to all teams in relation to the administration of HR matters and the HR recruitment system, assisting with the administration of recruitment and interviews as required
